AI transformation assessment: four weeks of consulting that end in a build plan, not a slide deck

For companies with 25–250 staff. Over four weeks, working remotely with your team, we put hours against the work in each department, decide task by task where AI agents assist and where they take over, and agree the rules for every agent. You leave with a written, phased plan and a fixed price for each phase.

What is the Transformation Assessment?

The Transformation Assessment is four weeks of remote AI transformation consulting for companies with 25–250 staff: we map the hours in each department, decide task by task where AI agents assist or take over, agree the rules, and hand you a written, phased plan with a fixed price per phase. It costs €3,000.

It is Phase 1 (Map) of 47 AI Transformation, our programme for moving a company onto AI agents department by department. The AI transformation roadmap describes the later phases. The Assessment stands on its own: the plan is yours to keep, whatever you decide.

Who it is for

A good fit if

  • You have roughly 25 to 250 staff across several departments.
  • Leadership wants to know where AI agents pay back first, in hours and euros, before committing a budget.
  • People already use AI tools on their own and you want to know what touches company data.
  • You want to agree who approves what before any agent goes live.

Not the right first step if

  • You have fewer than 25 staff, or one department in mind. Start with the €297 AI Audit (one department, a 60-minute session and a written report) or a Spark pilot. If you book the Assessment within 30 days of the AI Audit, the €297 is credited against it.
  • You have more than 250 staff. Start with Scale package scoping: €5,000, 2 weeks, credited in full against a Scale package build within 60 days. Large companies then run on our Embedded retainer from €5,000 a month.
  • You only want a quick self-check. Take the free AI readiness scorecard; it takes two minutes.

What you get after four weeks

  1. Hours per process, department by department. Where the time goes in each department, with hours against each process, so the plan starts from your numbers.
  2. A decision for every task: assist, co-work or take over. For each task we decide whether an agent drafts for a person, shares the work, or takes the task over with a person reviewing exceptions. The logic is in assist or replace, role by role.
  3. Rules for every agent. What each agent may do alone, what needs approval, and who in the business owns it, written down before anything is built. It is the start of your AI governance framework.
  4. A list of the AI tools already in use. Which tools your staff use today and what company data they touch.
  5. A first EU AI Act and GDPR screen for each proposed agent. We flag which agents would touch personal data and which uses fall into the EU AI Act’s higher-risk categories (recruitment screening is the usual example), so they are dealt with before a build, not after. This is not legal advice, not a compliance sign-off.
  6. A phased plan with a fixed price per phase. Which department goes first, what ships in each phase and what each phase costs. No day rates, no open-ended estimates.
  7. A leadership readout and the written plan. We present the plan to your leadership team on a video call and hand it over. The plan is yours to keep, whatever you decide.

An illustrative line from a plan (not a client): “Customer service, Phase 2: first-line email and chat answers move to an agent such as Orion, with a person approving refunds and complaints. Fixed price for the phase: stated in the plan.”

How the four weeks work

The Assessment runs remotely: interviews and workshops on video calls, documents shared online.

WhenWhat happensWhat we need from you
Week 1 · Kick-off and discoveryA remote kick-off with your sponsor: departments in scope, the people to talk to, the documents to share. Video interviews begin with department heads and the people who do the work.An executive sponsor; a list of interviewees per department
Week 2 · Interviews and the AI tools in useRemote interviews and screen-shared walk-throughs of how the work is done. We list the AI tools already in use and the data they touch.Interviewees’ time (most of your team’s time on the Assessment goes here); example documents, not live system access
Week 3 · Hours, decisions and rulesHours put against each process and checked with department heads. An assist, co-work or take-over decision per task, autonomy and approval rules with owners, and the first EU AI Act and GDPR screen per proposed agent.Department heads to check the hours; one review session with the sponsor
Week 4 · Written plan and readoutThe phased plan with a fixed price per phase, written up and presented to leadership on a video call. The written plan is handed over and the second invoice is issued.Leadership on the call for the readout

Price: €3,000, and what happens after

€3,000, fixed, invoiced 50/50: half when you book, half when we hand over the written plan. If you took the €297 AI Audit and book the Assessment within 30 days of it, the €297 is credited against the Assessment.

When the four weeks are over, you choose:

  • Build the first phase with us. The plan already carries a fixed price per phase, so the next step is a signed spec and a start date, for example Workforce Starter (€7,500, 30 days) or Workforce Pro (€15,000, 60 days) for the first department.
  • Go to a Scale package engagement. If the plan shows a multi-department roll-out and you sign a Scale package engagement within 30 days of the readout, 50% of the fee (€1,500) is credited against it.
  • Build it with someone else, or in-house. The plan is written so any capable team can follow it. The plan is yours to keep, whatever you decide.
  • Wait. The hours map and the rules are useful on their own when the budget arrives.

After the build: maintenance from €500 a month

Agents need looking after once they are live: knowledge bases change, processes shift and models are updated. After deployment you can keep them on a monthly retainer, from Care at €500 a month (health checks, knowledge-base updates and two consulting hours) up to Embedded at €5,000+ a month. Retainers are optional: you own what we build on final payment, with or without one.

AI transformation consulting without the slide deck

Consultants produce decisions; agents produce work. The Assessment is the consulting step: short, fixed-price, remote, and written to be built. More in AI agent vs AI consultant.

FAQ

Questions about the Transformation Assessment

How long does the Transformation Assessment take, and is it remote?

Four weeks from kick-off to the leadership readout, and it runs remotely: interviews, walk-throughs and the readout happen on video calls, with documents shared online. Most of your team’s time goes into interviews in the first two weeks.

How is it different from the €297 AI Audit?

The AI Audit looks at one department in a 60-minute session and gives you a written report. The Transformation Assessment covers every department in scope over four weeks and ends in a phased plan with a fixed price per phase. If you book the Assessment within 30 days of your AI Audit, the €297 is credited against it.

How is the Assessment paid, and is the fee credited later?

It costs €3,000, invoiced 50/50: half when you book, half when we hand over the written plan. If you sign a Scale package engagement within 30 days of the readout, 50% of the fee (€1,500) is credited against it. The 14-day money-back guarantee covers Workforce Starter and above, not the Assessment.

Do we have to build with theagency47 afterwards?

No. The plan has a fixed price for each phase if you want us to build it, and it is written so your own team or another partner can follow it. The plan is yours to keep, whatever you decide.

Who needs to be involved on our side?

An executive sponsor who can make decisions, the heads of the departments in scope, and a few people who do the work every day. If agents will change how teams work, it helps to involve employee representatives at this stage; see our AI change management guide.

Does the Assessment cover the EU AI Act and GDPR?

It includes a first screen for each proposed agent: which ones touch personal data and which uses fall into the EU AI Act’s higher-risk categories, so they are planned for before a build. It is not legal advice, not a compliance sign-off; your legal adviser confirms the final position.

Do you need access to our systems or data?

Mostly no: the Assessment runs on interviews and documents you choose to share, not live system access. Anything you share is stored in the EU, handled under GDPR by default and never used to train AI models.

Is the Assessment right for companies with more than 250 staff?

Larger companies start with Scale package scoping instead: €5,000, two weeks, credited in full against a Scale package build within 60 days, followed by our Embedded retainer from €5,000 a month.

Can partners refer clients to the Assessment?

Yes, on the same terms as every other package. See the partner programme.
