AI agents for hotels, villas and short-term rentals.

Guests message at 2am, in six languages, on four channels. Your team should be looking after the guests in front of them. We build agents that answer every enquiry and message in the guest’s language, take bookings direct, handle the phone line, and pass anything sensitive to a person with the full context.

What can AI agents do for a hotel or villa business?

AI agents take over the repetitive guest communication that piles up around every stay: answering pre-booking questions, replying to guest messages on WhatsApp, email and booking-platform inboxes, answering the phone, sending pre-arrival information and upsells, and drafting review replies. They answer from your own property information in the guest’s language, around the clock, and escalate complaints, special requests and anything involving money to your staff. theagency47 builds them at a fixed price, from €2,500 for one agent (Spark) or €7,500 for three (Workforce Starter).

The problem

Guest communication never stops, and it peaks exactly when you are busiest.

01

Messages around the clock

Questions about availability, transfers, parking, pets and check-in times arrive at all hours and across WhatsApp, email, Booking.com, Airbnb and your website. Slow replies lose direct bookings.

02

Every language, every season

International guests expect answers in their own language. Seasonal staff change every year, and the knowledge of how your property works leaves with them.

03

Direct bookings leak to the platforms

When the enquiry on your own site goes unanswered, the guest books through an online travel agency instead, and you pay the commission.

The agents

The agents hospitality operators build first.

Each agent answers from your property knowledge (rooms, villas, policies, local tips), works in Greek, English and your guests’ main languages, and hands anything sensitive to a named person on your team.

Agent #2

Phone reception agent

Answers the phone when the front desk is busy or closed, handles routine questions, takes booking requests and transfers live to a person when needed, with a summary of the call.

  • Greek and English, more on request
  • Live transfer with context
  • Call log in your inbox
Agent #3

Direct booking & enquiry agent

Replies to booking enquiries from your website and email within minutes, checks availability, sends a quote in your format and follows up, so more guests book direct.

  • Connects to your booking engine or channel manager where an API exists
  • Rates and discounts stay under your control
  • Every quote logged
Agent #4

Pre-arrival & upsell agent

Sends arrival information, collects arrival times and requests, and offers transfers, early check-in, experiences or a private chef at the right moment before the stay.

  • Timed to each booking
  • Offers you define and price
  • Requests routed to the right person
Agent #5

Review reply agent

Drafts replies to Google, Booking.com and TripAdvisor reviews in the reviewer’s language and in your tone. Negative reviews always go to a manager before anything is posted.

  • Human approves every reply
  • Spots recurring complaints for operations
  • Weekly summary
Agent #6

Operations hand-off agent

Turns guest requests and check-outs into tasks for housekeeping, maintenance and transfers, and confirms back to the guest when they are done.

  • Works with your existing tools
  • No new app for staff
  • Daily operations digest
Guardrails

Your guests talk to your property, not to a robot that improvises.

  • Answers only from your information. If the answer is not in your property guide, the agent says so and passes the question to your team, instead of guessing.
  • People decide on money and exceptions. Refunds, discounts, damage, complaints and special arrangements always go to a person.
  • Guest data under GDPR. Data processing agreement before go-live, access only to the systems each agent needs, and every message logged.
  • Your tone, your languages. We tune the voice to your brand, from family guesthouse to luxury villa, and test it in every language you serve.

FAQ

Questions from hotel and villa operators.

Will guests know they are talking to an AI?

Yes. We recommend the agent introduces itself as the property’s digital assistant, and it offers a person whenever the guest asks or the request needs one. Transparency builds trust, and EU rules increasingly expect it.

Which languages can it handle?

Greek and English as standard, and the main languages of your guests (for example German, French, Italian or Hebrew). We test every language you serve before go-live.

Does it work with Booking.com, Airbnb and my channel manager?

It works with the channels your systems expose. Where a booking engine, PMS or channel manager offers an API, the agent can read availability and log requests. Where a platform does not allow it, the agent drafts and your team sends. We confirm what is possible for your stack in discovery.

Can it take payments or give discounts?

No. Prices, discounts and refunds stay with your team. The agent can send a quote you have approved or a payment link from your own system.

Can it run on a tablet in the room or villa?

Yes. The same guest agent can run on an in-room or in-villa tablet, a QR code or a smart speaker, answering from the same property guide.

How long does it take?

One agent goes live in about 14 days. Three agents take about 30 days. Plan to start before the season so the agent learns from real guest questions in the first weeks.
